These terms govern your use of the vrguard.ca website and your visit to our VR gaming rooms. By using the website or attending a session you agree to them. If you don't agree, please don't book with us.
1. Scope
VRGUARD ("we", "us", "our") operates a private VR gaming facility in Canada and this website at vrguard.ca. These terms apply to anyone using the website or attending a session. Separate privacy and cookies policies cover how we handle personal information.
2. Bookings & payment
Bookings are confirmed only after we email you a confirmation. We may decline a booking request at our discretion — for example for capacity, age-restricted content, or accessibility reasons we'll discuss with you.
Payment is due at the time of the session unless we've agreed otherwise in writing. Accepted methods: e-transfer, debit, and the major credit cards. Prices are listed in Canadian dollars and include applicable taxes.
3. Cancellation & rescheduling
You can reschedule or cancel for free up to 24 hours before your session start time. Cancellations within 24 hours are charged 50%. No-shows are charged the full amount. The 24-hour window exists because we hold the room and turn away other guests.
If we have to cancel — for facility, equipment or safety reasons — we offer a full refund or a free reschedule, your choice.
4. In-room conduct & safety
We expect guests to treat the space, equipment, staff and other guests with respect. Aggressive behaviour, harassment, intoxication, or damage to equipment ends the session immediately without refund. We reserve the right to refuse service to anyone.
You agree to follow the safety briefing we give before every session. Headsets, controllers, and the room itself are sanitised between guests, but you're responsible for reporting any equipment issue immediately.
5. Health & physical suitability
VR can cause motion sickness in some people, especially first-timers. If you're pregnant, have a heart condition, epilepsy, a history of seizures, severe vertigo, or any condition that could be aggravated by immersive simulation, please tell us before booking and consult your doctor.
If you feel unwell during a session, take the headset off and tell a staff member. We can pause or end your session without further charge if VR doesn't agree with you.
6. Minors
Children under 8 are not permitted. Children under 12 must be accompanied by a parent or guardian in the room at all times. Some titles have higher age ratings (14+, 16+, 17+) and we enforce those — no exceptions, no parental override for rated content.
Parents and guardians are responsible for the conduct of minors in their care.
7. Liability & waiver
You acknowledge that virtual reality involves inherent risks (motion sickness, disorientation, minor bumps against furniture) despite our safety procedures. By attending you accept those risks and release VRGUARD, its staff, and its contractors from liability for any injury or loss arising from your voluntary participation, except where caused by our gross negligence.
If you have specific accessibility needs, tell us when you book — we'll do our best to accommodate and discuss any limitations honestly.
8. Equipment & damage
You're responsible for damage you cause to equipment through negligence or misuse. Repair or replacement costs will be invoiced at fair market rate. Headsets are fitted with face covers and wrist straps; please use them.
9. Website content & intellectual property
All content on vrguard.ca — text, graphics, photos, code — is owned by VRGUARD or used with permission. You may browse and share links freely. You may not copy, republish, or commercially exploit our content without written permission.
Third-party product names (Meta Quest, PlayStation VR2, individual game titles) are trademarks of their respective owners. We use them to describe what we offer; nothing on this site implies any affiliation beyond being a paying customer of those platforms.
10. Changes to these terms
We may update these terms occasionally. The "last updated" date at the top will always reflect the current version. Material changes that affect existing bookings will be communicated by email.
